Motheo Pre-School — KidKonekt Platform Disclosure

Motheo Pre-School uses KidKonekt, a third-party preschool management platform, to manage day-to-day administration, including child registration, attendance and pickup verification, invoicing and fee payments, parent communication, photo/media sharing, and reporting.

This page explains what that means for you as a parent or guardian.

1. What Is KidKonekt?

KidKonekt is software provided by KidKonekt (a product of BitBusinessSolutions) that Motheo Pre-School uses to manage its administrative and communication processes. When you register your child with us, log in to the parent portal, receive invoices, make payments, or receive messages and notifications from us, you are interacting with the KidKonekt Platform on our behalf.

2. Who Is Responsible for Your Information?

Motheo Pre-School is the Responsible Party for your and your child’s personal information in terms of the Protection of Personal Information Act, 2013 (POPIA).

We determine what personal information is collected and the purposes for which it is processed.

KidKonekt acts as our Operator, providing the technology infrastructure and secure data storage on our behalf and under our instructions. KidKonekt does not use your information for its own marketing purposes and does not sell your information to third parties.

3. What Information Is Collected Through KidKonekt?

Through the Platform, Motheo Pre-School may collect and process:

Child’s full name, identity/passport number, date of birth, gender, address, and relevant medical information.
Parent or guardian names, identity numbers, contact details, and relationship to the child.
Emergency contact information.
Attendance records and pickup/drop-off verification records.
Invoicing, billing, and payment records.
Communication records exchanged through the Platform.
Photographs, videos, classroom updates, and activity reports shared with parents.
Consent forms, enrollment documents, and other school-related records.

Payment transactions may be processed through secure third-party payment providers. Motheo Pre-School and KidKonekt do not store full payment card details.

4. Why We Collect This Information

We use this information to:

Register and manage your child’s enrollment.
Maintain attendance and safety records.
Verify authorised persons during pickup and drop-off.
Generate invoices and manage fee payments.
Communicate school notices, events, and announcements.
Share educational updates, reports, and classroom activities.
Meet legal, financial, and regulatory obligations.
Improve administrative efficiency and parent engagement.

5. How Your Information Is Protected

Information processed through KidKonekt is stored using secure systems designed to protect against unauthorised access, disclosure, alteration, or loss.

Access to information is restricted to authorised Motheo Pre-School staff members who require access to perform their duties. Appropriate technical and organisational safeguards are maintained to help ensure the confidentiality and integrity of personal information.

6. Sharing of Information

Personal information will not be sold, rented, or disclosed to unauthorised third parties.

Information may only be shared:

When required by law.
With service providers acting on behalf of Motheo Pre-School and subject to confidentiality obligations.
Where necessary to protect the health, safety, or wellbeing of a child.
With your consent where applicable.

7. Your Rights

In terms of POPIA, you may request:

Access to your personal information.
Correction of inaccurate or incomplete information.
Deletion of information where legally permissible.

You further acknowledge that Motheo Pre-School uses the KidKonekt Platform to facilitate school administration, communication, attendance management, billing, payment processing, reporting, and related educational services.
